How we quote

The process of creating a formal quote

  1. 01Define the target, user, current situation, and necessary integrations.
  2. 02Identify the scope, risks, and acceptance criteria for the first phase.
  3. 03Separate out the initial setup costs, ongoing expenses, and actual usage of third-party components.
  4. 04Clearly outline what is and isn't included in the quote, as well as responsibilities for handover and maintenance.

Comparison rules

When comparing quotes, use the same scope

A quote that only lists pages or the number of keywords cannot be directly compared to a quote that includes research, design, integration, testing, content, deployment, and maintenance. Please verify account and source code ownership, third-party fees, modification cycles, data provision responsibilities, acceptance and handover after termination.

If the budget is limited, consider reducing the scope of the first phase or conducting a pilot project; cramming all the requirements into the lowest possible price will usually only delay essential work into additional costs.

What should you prepare before requesting a quotation?

You do not need a complete specification yet. Gather the information below and clarify any gaps during the discussion so you can compare quotations with equivalent scope.

Current website and situation
Share the URL, platform and current problems. For a new project, describe the users and primary goal.
Features and initial phase
List the required pages, workflows and acceptance scenarios, separating requirements that can wait.
Required integrations
Describe payment, membership, CRM, telephony or other API integrations. Share interface details first; there is no need to send passwords.
Content and data responsibilities
Confirm who supplies brand assets, content, case studies, knowledge sources or migration data, and the rights to use them.
Budget and ongoing costs
Share an acceptable budget range and discuss implementation, maintenance and third-party usage costs separately.
Timeline and project contacts
State the desired launch date, internal reviewers and when materials will be ready. Scheduling is assessed after the scope is confirmed.
